Overview

IST Management is seeking a Litigation Filing Assistant in Southern California! The Litigation Filing Assistant will be responsible for supporting our client's California offices’ litigation departments by assisting with preparing, filing, and managing legal documents in both state (California) and federal courts. This role will be responsible for providing advanced-level assistant work, specializing in litigation support, for a variety of timekeepers. This is an excellent remote opportunity for diligent workers who possess: four (4)+ years of litigation experience in a law firm or equivalent, working knowledge of litigation support data applications and databases (preferably in a large law firm or corporate law department setting), knowledge and experience in trial preparation, deposition, and mediation, have advanced working knowledge of Microsoft Office Suite and Best Authority, and are proficient in NetDocument or similar document management systems. Microsoft Office Specialist (MOS) certification is preferred. Knowledge and proficiency in a second language are highly desirable. 

 

Location: Fully Remote opportunity - Supporting client offices in Southern California, Silicon Valley and San Francisco.

 

Schedule: Working hours from 5:00 p.m. to 12:30 a.m. to accommodate court e-filing deadlines, Monday through Friday. Flexibility for overtime and weekend coverage may be required as needed.

 

Salaried Compensation: $80,000.00 - 85,000.00, DOE

 

 

 

 

Responsibilities

LITIGATION FILINGS

 

  • Assist attorneys and paralegals with preparing and filing California legal documents, including pleadings, motions, and discovery materials, in compliance with California state and federal court rules
  • Manage and maintain filing systems for case files, ensuring accurate tracking and timely filing of all documents
  • Prepare and organize documents for electronic and physical filing with the court system, including e-filing through the California courts portal and other state/federal e-filing systems
  • Coordinate and track court dates, deadlines, and filing requirements for all ongoing cases; Perform routine California filings, including summons, complaints, notices, and discovery responses
  • Assist with preparing documents for service of process and ensure timely and accurate delivery
  • Communicate with courts, clients, and other parties to ensure compliance with filing requirements; Perform research related to court rules and procedures, ensuring that filings are completed in a timely and compliant manner
  • Support other litigation team members with administrative tasks as needed, including document production, calendaring, and maintaining case files

Qualifications

The Litigation Filing Assistant role is an excellent remote opportunity for diligent workers who possess: four (4)+ years of litigation experience in a law firm or equivalent, working knowledge of litigation support data applications and databases (preferably in a large law firm or corporate law department setting), knowledge and experience in trial preparation, deposition, and mediation, have advanced working knowledge of Microsoft Office Suite and Best Authority, and are proficient in NetDocument or similar document management systems. Additional qualifications include:

  • Microsoft Office Specialist (MOS) certification preferred
  • Knowledge and proficiency in a second language are highly desirable
  • 55 wpm typing speed, excellent grammar, spelling, punctuation, and communication skills
  • Attention to detail and good organizational and analytical skills
  • Ability to juggle various assignments and produce accurate work products in a fast-paced, deadline-oriented environment
  • Flexible attitude and the ability to deal well with changing assignments and priorities
  • Flexible for overtime; Professional appearance and demeanor
  • College degree preferred but not necessary with appropriate experience
