Overview

We are seeking a Legal Site Supervisor to join our team at IST Management Services in San Francisco, CA! The Legal Site Supervisor plays a key role in maintaining the office and providing backup to the Concierge and Duplicating personnel. This role requires a professional, outgoing, and welcoming personality who understands the value of being a part of a successful office services team.

Hourly Compensation: $24.00 - $26.00 

 

Schedule: Monday-Friday, 8:30am-5:00pm.

Responsibilities

The Legal Site Supervisor will oversee on-site copy/print/scan, mail, and hospitality support operations for the office.  Duties include:

  • Copy/Print/Scan - Provide backup support for the Duplicating Center when needed. Perform copy tasks, binder preparation, supply ordering, and other tasks as needed. Utilize postage machine and binding equipment
  • Corporate Hospitality - Conference room set-ups, assist with catering events, light maintenance of common areas and overall office environment esthetics and presentation; ensure office environment is well maintained and clean
    • Additional:
      • Provide backup support for Reception/Concierge including breaks and vacation. Answer phones, schedule visitor offices, monitor parking voucher log, calendar meetings as requested, arrange for meals to be delivered as requested 
      • Oversee and maintain the catering kitchen and lounge so they are clean, fully stocked with supplies, drinks, and snacks, and coffee is available throughout the day
      • Close down catering kitchen and lounge including putting food away, cleaning and restocking, and loading the dishwasher.
      • Perform month-end refrigerator cleanouts
      • Maintain Nespresso machines and ensure they are cleaned daily as needed and supplies fully stocked
      • Ensure water bottles, coffee air pots, and ice buckets are cleaned on a weekly basis
      • Work with local restaurants and caterers for delivery of food and beverages for events
      • Weekly inventory checks, order lounge supplies and catering needs
      • Monitor conference room and visitor office use to ensure these workspaces are properly kept up, sanitized, and restocked after every use
  • Communication - Effective written and verbal communication with clients, vendors, and employees
  • Reporting - Complete management reports, volume reports, and report meter reads
  • Facilities- Work with the Office Administrator to address and schedule maintenance and repair needs
    • Support the Office Administrator with day-to-day office operations as requested, including facilities management; assist with special projects for Office Administrator, attorneys, and assistants as needed
  • General: 
    • Attend all necessary training including software as required to perform job functions
    • Attend all meetings as requested by firm management
    • Perform other tasks as may be required

Qualifications

Ideal candidates must have excellent, professional verbal and written communication skills as well as hands-on experience using Microsoft Office. Prior experience in a corporate or law firm setting is a huge plus! Other qualifications include:

  • High school diploma or equivalent is required
  • Prior office services experience is preferred
  • Expert customer service skills - must be able to maintain a consistent, high level of service; Effective communication - written and oral
  • Must be able to multi-task with great attention to detail and problem-solve
  • 45 wpm typing skills, good spelling and grammar, basic computer knowledge required, including Microsoft Office Suite and Zoom
  • Ability to lift up to 25lbs
  • Authorization to work for any employer in the US is required
