IST is a business process outsourcing (BPO) company specializing in providing solutions for the management of physical and digital information through Facilities Management, eDiscovery, and Electronic Document Management services.

 

The On-site Operations operates with a passion for excellence and this position is a key management position charged with maintaining and growing operations for national account(s). Manages on-site facilities to include, but not limited to, mail, copy, fax, reception, confrence room, hospitality, and other administrative services in law firms. Full time, direct hire. Travel may be required.

 

Salaried Compensation: $65,000 - $70,000 yr.

Responsibilities

Duties include but are not limited to: 

  • Maintain effective written and oral communications with clients, employees and the operations team
  • Assists sales by going on joint appointments to meet with existing and potential clients
  • Prioritize work and deploy staff as required to ensure customer needs are met in regards to on-time delivery of services and quality of work
  • Work with corporate recruiting team to manage the recruiting process on site
  • Ensures all work standards are met on a consistent basis/maximization of productivity through efficient use of standard operating procedures
  • Prepares and distributes management reports to the client in a timely and consistent manner
  • Develops new procedures to improve the operation of the site(s) and to lower operating costs
  • Manages, trains and coaches employees and develops a work environment that promotes high motivation and customer satisfaction
  • Ensures the proper and safe use of all equipment used by employees
  • May be required to assist in implementing new site start-ups outside of home state and/or required to travel to other locations outside of home state to manage sites

Qualifications

Experience Requirements: 

  • Two to ten years’ experience managing facilities management accounts for law firms, colleges, facilities management companies and/or corporate accounts
  • Knowledge of Microsoft Office (Word & Excel) and familiarity with computer basics is preferred
  • Ability to communicate both verbally and written with customers and other employees both one-on-one and during meetings/ ability to multi-task, manage multiple accounts and establish priorities
  • Knowledge of supervisory techniques to manage, motivate and train employees
  • Ability to prepare reports and present information to customers
  • Must have attention to detail and critically think through and resolve problems
  • Must have customer service skills and be able to maintain a consistent, high level of service
  • A valid driver’s license and/or reliable transportation to and from work
  • Lifting up to 55 pounds/standing for long periods of time/significant walking
