We are seeking driven, professional candidates to join our team as IST Management's next Legal Records Specialist Lead. This is a direct hire, full time position with IST Management, with the opportunity for advancement into site management roles and beyond. Prior experience in records management is highly preferred, and any experience with document scanning and/or general office support is a huge plus!

Schedule: Regular business hours Monday-Friday, 8AM-5PM, occasional overtime

Compensation: $19.00 USD per Hour, based on relevant experience and performance during the interview process

• Perform various functions for the records department including:
o Oversee and manage daily functions within the Records Department
o Oversee records department staff and ensure all are cross training in each records center task
o Delegate records specific tasks to team and report to management
o Work directly with client to discuss and report any and all records specific issues
o Meet with client on a weekly/monthly basis to review records metrics
o Familiarity with Elite Records Management System
o Process and manage files through Elite
o Efficient use and understanding of Outlook
o Responsible for opening and closing of records department daily
o Creation of physical files (labels and barcodes)
o Checking in firm files
o Checking out firm files
o Requesting files from off-site vendor and processing them upon delivery
o Checking in and managing of incoming off-site files
o Creating files for other firm locations and shipping them to required office
o Purging files past retention deadline and staging them for delivery to off-site location
o Creating boxes to go to off-site vendor for staging
o Shredding of requested documents
o Ordering of records specific supplies
o Processing attorney and paralegal departures
o Quality check scanned files
o Various service requests – shred bin delivery, library cart delivery, etc…
o Scanning and administrative work, including answering phones and carrying out customer requests
• Customer service and equipment handling
• Maintain all logs and reporting documentation; attention to detail
• Adhere to all safety procedures


Ideal candidates will have 2 years of previous experience in a records management position and at least 1 year of management/lead experience. Other qualifications include:
• Experience working in a legal records department is required
• Experience overseeing a staff of at least 2 is highly required
• Experience with Elite software or similar records management software is highly preferred
• Familiarity with Outlook is highly preferred
• Familiarity with Iron Mountain Connect is highly preferred
• Experience with iManage software or similar document management software is highly preferred
• Experience in document management and/or office services support is a plus
• Willingness to participate in cross-training for other job functions including but not limited to Office Services Support including reception is required
• High school diploma or equivalent is required
• Professional appearance and demeanor; excellent communication skills both verbal and written
• Ability to effectively work individually or in a team environment
• Ability to meet employer's attendance policy
• A valid driver’s license and/or reliable transportation to and from work
• Ability to lift 50lbs
